About this policy
This Privacy Policy explains how Solset Wellness ("Solset," "we," "us") handles information collected through this website, including inquiry and signup forms, email, and text messages. It applies to solsetwellness.com and to communications you choose to receive from us.
This policy covers the website and marketing communications only. It does not replace the separate notices, consent forms, or policies that apply to clinical care, medical records, or payment. If you are a patient, those documents govern how your care information is handled.
Please use the website forms for general questions only. Do not submit medical records, treatment histories, lab results, payment card numbers, Social Security numbers, or other sensitive information through the website.
Information we collect
Information you give us
When you contact us, request information, or sign up for updates, we collect what you choose to provide. This typically includes your name, email address, phone number, the service you are interested in, your message, and the communication preferences you select. If you choose to receive email or text messages, we keep a record of that consent, including the date, the form used, and the choices you made.
Information collected automatically
When you visit the website, our hosting and form providers may receive technical information such as your IP address, browser and device type, pages viewed, referring page, and the date and time of your visit. See Cookies, analytics, and advertising for how this works.
Information from other sources
If you contact us by phone, social media, or through our online booking provider, we may keep a record of that contact alongside your website inquiry so our team can respond to you in one place.
How we use information
- To respond to your inquiry, answer questions, and help you schedule a consultation or appointment.
- To send the email or text messages you have asked for (see the next section).
- To keep accurate contact and consent records.
- To operate, secure, troubleshoot, and improve the website.
- To understand how visitors use the website, in aggregate.
- To comply with legal obligations and to protect our rights, our patients, and our team.
We do not use website inquiry information to make clinical decisions. Treatment decisions are made by a provider during a consultation.
Email and text messages
If you sign up for updates or opt in to marketing email, we may send practice news, educational content, and announcements. Every marketing email includes an unsubscribe link. You can also ask us to stop at any time using the contact details below. Unsubscribing from marketing email does not stop messages that are needed to respond to your inquiry or appointment request.
Text messages (SMS)
Text message consent is optional and separate from anything else on the form. Providing your phone number or submitting a form does not, by itself, enroll you in text messaging. Where offered, you may choose informational messages (such as replies to your inquiry and appointment confirmations or reminders), promotional messages (such as offers and service updates), both, or neither. Consent is not a condition of purchasing any service.
- Message frequency varies. Message and data rates may apply.
- Reply STOP to any message to opt out. You may receive one final message confirming your opt-out.
- Reply HELP for help, or contact us using the details below.
- Wireless carriers are not liable for delayed or undelivered messages.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing with subcontractors that support our services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
Our Terms of Service describe the text messaging program in more detail.
Service providers
We rely on third-party providers to operate this website and our communications. They receive only the information needed to perform their services and are not permitted to use it for other purposes. Our current providers include:
- Website hosting, forms, customer relationship management, email, and text messaging: HighLevel (also known as GoHighLevel or LeadConnector), which hosts this website and stores inquiry, contact, and consent records on our behalf.
- Online booking and practice management: Aesthetic Record, which operates our online booking portal. When you book, you are using Aesthetic Record's service and its privacy policy applies to the information you enter there.
- Email delivery: our email service provider used to send practice email.
- Analytics and advertising: the providers described under Cookies, analytics, and advertising.
These providers may store information on servers located in the United States.
Security and retention
We use reasonable administrative, technical, and physical safeguards to protect the information we collect, including access controls on the systems that store it. No method of transmission over the internet or electronic storage is completely secure, so we cannot guarantee absolute security.
We keep website inquiry, contact, and consent records for as long as needed to respond to you, maintain our relationship, document consent, and meet legal and recordkeeping obligations. When information is no longer needed, we delete it or make it anonymous.
Your privacy rights
You can contact us at any time to:
- ask what information we hold about you from the website;
- correct information that is inaccurate;
- ask us to delete information you provided through the website;
- withdraw consent to marketing email or text messages; or
- ask a question about this policy.
We will respond within a reasonable time. We may need to verify your identity before acting on a request, and some information may be retained where the law requires it or where it is part of a medical or financial record. Depending on where you live, you may have additional rights under state privacy laws; we will honor those rights to the extent they apply. We will not treat you differently for exercising a privacy right.
Health information and HIPAA
Solset Wellness provides health and aesthetic services. Information you share as a patient during care, including through intake forms, consultations, and your patient record, is protected health information and is handled under our Notice of Privacy Practices and applicable federal and Utah law, including the Health Insurance Portability and Accountability Act (HIPAA) where it applies.
This website and its forms are not a patient portal and are not intended for protected health information. Please do not describe medical conditions, medications, or treatment history in a website form or text message. If you need to share health information, do so during your consultation or through the secure channels our team provides.
If you are a current patient and would like a copy of our Notice of Privacy Practices, contact us using the details below.
Children
This website is intended for adults and is not directed to children under 13. We do not knowingly collect personal information from children through the website. If you believe a child has provided information to us online, please contact us so we can remove it.
Updates and contact
We may update this policy as the website, our communications, or the law changes. The "Last updated" date at the top of this page shows the current version. Continued use of the website after an update means the updated policy applies.
